Step 1: Export from HubSpot CRM

Get your files out before you change anything. In HubSpot CRM the export lives at Contacts → Export (top right) or Settings → Import & Export (CSV, Excel). Menu names change between versions — if the path doesn't match, search HubSpot CRM's help for "export". Excel (.xlsx) files import as they are; an old .xls file, save as .xlsx or CSV first.

Watch for: Marketing email history stays in HubSpot. Deal/pipeline history exports but loses stage automation.

1

Export Contacts · 5 minutes

Contacts → Select all → Export → Choose CSV. Select all properties you want to keep.

⚠ HubSpot has excellent exports — include custom properties you care about

2

Export Companies (if B2B) · 3 minutes

Companies → Select all → Export. Captures company records if you use them.

⚠ Company-contact associations may need manual linking in Nexa

3

Export Deals · 3 minutes

⚠ Deal stages won't auto-map — use as reference for Nexa job stages

4

Document Sequences (if used) · 15 minutes

Automation → Sequences. Screenshot or document any automated email sequences you want to keep. Sequences are settings and do not export.

Step 2: Import into Nexa

Each import reads your file, matches the columns by their names, and skips anything you already have — so a second try never makes doubles.

1

Import your HubSpot CRM client list

CRM → Tools menu → Import CSV, or Settings → System → Import from another tool, then choose the client file (CSV or Excel) you exported from HubSpot CRM. Columns are matched by header name, in English or Spanish, so Company, Customer Name, E-mail, Mobile, Empresa or Correo work as they are. Separate First Name and Last Name columns are joined into one contact name, and Street, City, State and ZIP columns into the client’s address. Status words from other tools (Active, Archived, Proposal) are matched to Nexa’s stages. Nexa needs a Business or a Contact column; it also reads Email, Phone, Address, City, State, ZIP, Status, Type, Tags, Source, Notes. Rows that match an existing client by business name, email or phone are skipped, so re-importing is safe.

2

Import your bank and card history

Banking → Import CSV / OFX. Download a CSV, OFX or QFX from your bank. Downloads from Chase, Bank of America, Wells Fargo, Capital One, Discover, American Express, Citi, BBVA México, Banorte and Santander México are recognized as they come. This brings the money side of your history across, whatever HubSpot CRM kept. Banking can also connect to your bank directly.

3

Re-enter what is still open

Recurring work: Jobs import one at a time. Open the ones that repeat and set how often. Online booking: Imported services start off your booking page. Turn Bookable on for the ones clients can book themselves.

The Math on Switching

HubSpot CRM at $20/month costs $240 a year at today's price. Over 3 years: $720. Nexa is $279 once. The break-even point is 14 months; after that, what HubSpot CRM would have charged stays with you.

Common Questions About Switching from HubSpot CRM

Can I import my invoices?

Yes, the open ones. Export your unpaid invoices as a CSV and import them under Settings → System → Import from another tool. Each comes in with its number, client, due date and what is still owed; paid and void invoices are left out. Keep the export of past invoices as your record.

Do I lose my client addresses?

No. An Address or Street column, plus City, State and ZIP when your export splits them, comes in as the client’s address.

What if I import the same file twice?

Nothing doubles. Clients that match by business name, email or phone are skipped; so are expenses with the same vendor, amount and date, invoices with the same number, and jobs and tasks with the same title and date. Services with the same name get the new price.

How long does it take?

The exports are the slow part — a few minutes each. Each import takes seconds.

Can I keep my old tool running while I try it?

Yes, and you should. Cancel only once your clients and numbers check out in Nexa.
